About the GCVA
The Gift Card & Voucher Association (GCVA) is a vibrant trade association and membership body which represents the £7bn+ gift card, voucher and stored value sector – a fast growing and exciting ecosystem. The Association represents the key players in the industry and promotes best practice for the benefit of gift card issuers, services and consumers.
The GCVA’s role is to protect and promote the gift cardsector: keeping members up-to-date with trends, issues, challenges and opportunities; advocating on key legislation and regulation; creating opportunities for business development; commissioning relevant research; collaborating with stakeholders; delivering networking & events; and promoting the high-quality businesses that join GCVA.
We are a small team who work hard on behalf of our members. We are now seeking a talented and highly organised Finance, Membership & Administration Manager to oversee core membership processes, financial management, and organisational administration, ensuring the smooth running ofthe GCVA.
Working Environment
The team work flexibly, with core hours being 10am–4pm when the majority of meetings take place. The postholder is expected to be availablefor meetings during normal working hours when meetings are outside of their work pattern (ie 9–5pm). We are currently moving offices and will likely be meeting as a team in Brighton, London or elsewhere in the South East, while the remainder of work time is work from home. We are happy to discuss working arrangements with the right candidate. Some work outside of regular hours will be required for meetings, travel, and our major events in March and September, as well as other events in the annual programme.
Job Description
This role is central to the effective running of the GCVA, managing the association’s membership processes, financial systems, administration, and supporting governance and events. The postholder will work closely with the Operations Manager, Managing Director, and wider team, as well as with the GCVA’s Board and external accountant.
Membership
- Manage membership renewals and the processing of new members
- Issue membership invoices and track payments.
- Keep member contact details up to date in Monday.com, ensuring accurate records and income tracking.
- Manage member access to the members’ area of the website
- Handle queries sent to info@gcva.co.uk , finance@gcva.co.uk , and members@gcva.co.uk inboxes, liaising with members to provide timely support.
- Coordinate collection of member data and report production for twice-yearly Sales Analysis (H1 and H2) in liaison with our research partner
Finance
- Raise invoices across all areas of the business and manage payments into the bank.
- Track incoming payments, outgoings, and cashflow for agreed budget lines.
- Manage event payments via Stripe.
- Process staff expenses
- Liaise with the external accountant to produce end-of-month accounts, reviewing these in monthly calls.
Administration & Governance
- Act as administrator for Monday.com, ensuring systems are up to date and working effectively.
- Send and collate Board papers, organise Board calls, manage Board member details (e.g. Companies House filings), and coordinate Board elections.
- Maintain insurance policies and handle renewals.
- Manage central subscriptions, renewals, and password records.
- Provide office management support as appropriate including supplies (tea, water, cleaning, storage), new staff induction, and coordinating staff gifts for birthdays/Christmas.
Events
- Support the team in preparing for events, including packing and running the GCVA stand
- Track and manage payments for event attendance and sponsorships.
- Provide logistical and administrative support to ensure smooth delivery of events.
Responsibilities may evolve in line with the needs of the company, and the post holder may be asked to carry out additional duties appropriate to the grade and purpose of the role.
Skills & Experience Required
- Experience in finance administration, including invoicing, payment tracking, and liaising with accountants.
- Strong organisational skills with excellent attention to detail.
- Experience managing membership processes or CRM systems (experience with Monday.com desirable).
- Confident working with online payment platforms (e.g. Stripe).
- Strong written and verbal communication skills, with the ability to manage member queries professionally.
- Ability to work independently, manage competing priorities, and deliver to deadlines.
- Excellent communication skills with the ability to understand what other members of the team need from them at any point.
- Proficiency in Microsoft Office and general digital literacy.
- Ability to work outside of 9-5 hours as required for events.
Desirable
- An understanding of the governance requirements of trade associations or membership bodies is desirable but not essential.
Qualifications
Educated to A-level degree or equivalent experience.
